General Description:

Our Medical Assistant team are integral to our clinic/hospital and are responsible for assisting Providers with medical treatment of patients within a patient-centered philosophy.  The Clinic Supervisor assists with the daily functions of the Clinic. The Clinic Supervisor manages and monitors quality assurance compliance and clinic metrics

Essential Job Duties:

  • Provide direct supervision of all MA staff.
  • Train all new MA's as part of their orientation. Get them acclimated, situated and comfortable in the clinics.
  • Keep MA's updated and informed on any training opportunities.
  • Facilitate annual MA skills competency and documents.
  • Provides coverage at any of the WCH Clinics during staffing gaps and MA position vacancies.
  • Create, maintain and monitor MA schedule for stocking the exam rooms accordingly.
  • Ensures all MA’s have completed all chart documentation as required.
  • Ensures all MA’s have completed their daily calls, returned voice mails and other communications.
  • Conduct quality control checks of machines and kits as directed.
  • Conduct In-House back-office procedure lab tests/Nurse visits when appropriate (Sofia, Glucose, INR and UA dips).
  • Maintenance of equipment and making recommendations for medical equipment as needed to the Manager.
  • Update the ordering list with any needed supplies and medications.
  • Maintains the medication room inventory and assures compliance of all recording and documentation needed for billing and regulatory purposes. Ensures MA staff follows all medication protocols.
  • Oversee inventory of medical supplies and equipment.
  • Assist in chart documentation for quality purposes to ensure that provider coding and documentation is matching.
  • Open tickets for Information assistance.
  • Open and close the clinic office as necessary.
  • Maintains all quality initiatives and metrics, provides tracking, documentation and compliance. Instructs clinical staff on required documentation.
  • Maintains and coordinates clinical operations through Patient Access, Laboratory, Information Systems and other required departments and leaders to ensure efficient and timely clinical operations.
  • Comprehensively analyzes the productivity of the practice against established benchmarks and makes recommendations for improvements
  • Assist with administrative assignments as needed.

Other (Non-Essential) Duties:

  • May be asked to attend a leadership meeting in the absence of the Medical Practice Manager.
  • Other duties as directed by Medical Practice Manager.

Minimum Qualifications:.

  • High school diploma.
  • Currently a Certified Medical Assistant, CMA or Registered MA.
  • 6 months or more of recent experience working in a provider’s office.
  • Ability to communicate effectively, both verbally and in writing.
  • Ability to maintain accurate records with attention to detail.
  • Function in a team environment with courteous, compassionate and respectful treatment of patients and other team members.
  • Good organizational skills.

Physical Requirements/Working Conditions:

  • Being able to work at fast pace, Multitasking, Lots of walking.
  • Must be able to operate standard office equipment.
  • Must be able to lift and carry up to 20 lbs.
